Return, replacement, and credit note guidelines for orders placed with Kunthunath Medical Agency.

1. Overview

Kunthunath Medical Agency supplies ethical pharmaceutical products under strict regulatory and quality requirements. Because medicines are sensitive, temperature-controlled, and traceable goods, returns and refunds are handled carefully and only in permitted circumstances.

This Refund Policy explains when returns, replacements, or credit notes may be considered.

2. General Policy

Due to the nature of pharmaceutical products, we generally do not accept returns or provide refunds for:

  • Opened, used, or tampered products.
  • Products with broken seals or compromised packaging.
  • Products stored or handled improperly after delivery.
  • Products returned after the permitted reporting window.
  • Products ordered correctly but no longer needed by the customer.

3. Eligible Cases

We may consider a return, replacement, or credit note in the following situations:

  • Wrong product supplied against the confirmed invoice.
  • Damaged or defective goods received due to transit or handling before delivery acceptance.
  • Short supply or quantity mismatch reported with supporting invoice and delivery proof.
  • Near-expiry or incorrect batch dispatch where the issue is verified by our team.
  • Regulatory recall or manufacturer-directed withdrawal communicated officially.

4. Reporting Timeline

Any discrepancy, damage, or shortage must be reported within 24 hours of delivery, or within 48 hours for upcountry consignments, along with invoice number, batch details, photographs, and packaging condition evidence.

Late reporting may limit our ability to investigate with logistics partners or manufacturers and may affect eligibility for replacement or credit.

5. Return Process

Approved returns must be returned in original packaging with batch labels intact and accompanied by the relevant tax invoice.

Our team may inspect returned goods before approving replacement or credit. Products failing inspection may be rejected for return processing.

Return pickup or reverse logistics will be arranged only after written approval from KMA.

6. Refunds and Credit Notes

Where a monetary refund is approved, it will typically be issued through a credit note, account adjustment, or bank transfer depending on the original payment method and commercial arrangement.

Refund processing timelines may take 7 to 15 business days after approval and receipt of returned goods, subject to verification and banking processes.

7. Cold Chain Products

Temperature-sensitive products such as vaccines, insulin, and biologics are non-returnable unless a verified cold chain failure occurred before delivery acceptance and is supported by temperature logs or transit records.

8. Cancellations

Orders may be cancelled before dispatch upon request. Once goods are picked, packed, or dispatched, cancellation may not be possible and standard return conditions will apply.
